The NHS England and Five of its trust working under the same umbrella were seeking a digital enhancement in the creation of a Clinician-Facing Clinical Media Capture Solution to allow healthcare professionals to capture, store, and share patient-related media securely. VE3 solution was designed to enhance clinical workflows, improve collaboration, and ensure data security while integrating seamlessly with existing NHS systems.Â
Overview of Requirements
The system needed to work with Cerner Millennium and other NHS-approved Electronic Patient Records (EPRs). Providing a seamless ERP Integration using our Enterprise PlatformsÂ
 Clinicians needed be able to securely share media with colleagues for consultation, through real time sharing and collaboration.Â
 The solution had to be accessible on Trust-issued devices, ensuring media is not stored locally and all-round device compatibility Â
 Full adherence to GDPR, NHS Data Protection Toolkit, and Cyber Essentials Plus was necessary to comply with all levels of Cybersecurity Â
 A centralized repository for consistent and secure access across NHS Trusts needed to be considered through a standardised storage solution Â
It was imperative that clinicians would be able to capture images, videos, and audio within a secure environment – (secure media capture)through Digital WorkspaceÂ
In order to create the perfect solution the team at VE3 addressed some key challenges at the beginning stage of the project. This is to help eliminate pain points earlier on in the projects life cycle, and is achieved using methodical risk management strategies.Â

- Using AES-256 encryption, multi-factor authentication (MFA), and audit trails ensured a highly secure environment.Â
- Role-based access controls (RBAC) was a incorporated, this could help limit media access to authorized personnel, reducing breach risks across the board.Â
- Ensuring the system carried out regular compliance checks and automated security updates would help enhance long-term data protection overall.Â
System Integration & Workflow Efficiency
- We used FHIR and HL7 interoperability standards which would help in facilitating a smooth EPR integration.Â
- Automated real-time synchronization ensured captured media would be instantly available in-patient records.Â
- When designing the solution, keeping manual input to minimum was greatly considered, allowing for clinical workloads to be reduced .Â
Clinician Adoption & Training
- A user-friendly interface with intuitive workflows was put in place to minimize the learning curve for all clinicians.Â
- VE3 establish Structured training programs, workshops, and technical support throughout a projects life span to ensure high, quality adoption rates.Â
- The team will always ask for continuous feedback to ensure the system improvements keep the solution aligned with clinician needs.
