Overview

In London there are five NHS trust that all operate under the same umbrella, and they were seeking a Patient-Facing Clinical Media Capture Solution. The remit of this solution was to capture and submit clinical images, videos, and audio recordings for the healthcare monitoring across all five trusts. VE3 created a solution that would be a perfect fit and enhance clinical decision making, patient engagement and support a steady workflow though out the healthcare system. Below I have outlined some of the critical criteria’s that had to be covered and checked off to ensure this solutions success

Patient media capture to allow patients to securely capture and submit medical images, videos, and audio. 

Device Compatibility and Mobile App Development ensures the support of smartphones, tablets, and other patient devices. 

The usability and accessibility need to be inclusive and user friendly  

Cybersecurity, Data Security & Compliance must be always adhered to using set standards such as GDPR, NHS Data Protection Toolkit, and Cyber Essentials. 

The system must integrate with NHS Electronic Patient Records (EPR), specifically Cerner Millennium 

Real-Time Monitoring is important for clinicians to be  able to request, view, and analyse patient-submitted media securely. 

As a team we identified any key challenges we may face while created this solution and this helped eliminate and work though any obstacles from the outset. 

Challenges

  • Ensuring compliance with NHS DSPT, GDPR, and Cyber Essentials Plus. 
  • Preventing unauthorized access to patient-submitted media. 
  • Implementing end-to-end encryption for secure data transfer. 
  • Patients may face technical difficulties using the system. 
  • Need for multilingual support and accessible design. 
  • Providing training materials and customer support for patients. 
  • Seamless integration with Cerner Millennium and other EPRs. 
  • Ensuring real-time data exchange without performance delays. 
  • Compatibility with existing NHS IT infrastructure. 

Outcomes

Security and Data Security Compliance

  • We ensured Regulatory compliance through end-to-end encryption (AES-256), multi-factor authentication (MFA), and strict access control policies. 
  • Secure role-based access control (RBAC) restricts media access to authorized personnel only, preventing breaches. 
  • Audit trails and logging mechanisms provided transparency, allowing for security monitoring and risk mitigation. 

User Friendly Platform

  • Intuitive, patient-friendly UI helped reduce any technical barriers, ensuring smooth adoption. 
  • We are integrating a multilingual support and accessibility features such as text-to-speech, font adjustments which can help cater to diverse patient needs. 
  • Comprehensive training resources, including step-by-step guides, video tutorials, and live support, is how we proposed a successful support system which in turn would help improve patient engagements long term 

The New System and how it would Integration with NHS EPRs

  • Using HL7 and FHIR interoperability standards enable seamless data exchange between the media capture system and NHS EPRs. 
  • Automated real-time updates ensured that patient-submitted media would be immediately available within Cerner Millennium. 
  • Using  API Solutions  and installing robust frameworks ensure compatibility with NHS IT infrastructure, was at the forefront of tour work this also allowed for and would support future scalability of the new system. 

Conclusion

In conclusion the system Patient-Facing Clinical Media Capture Solution built considering the NHS five trust was built around considerations scalability, user friendly access and security compliance. All aspects of this project were accomplished and introduced in the creating of the digital solution, which would allow NHS Trusts and many similar businesses a like to adopt a front facing digital transformation that can successfully play a monumental role in the day to day running of business.
