Innovative Technology Solutions for Case Management

Streamlining International Trade Case Management with VE3’s Innovative CMS Solution

Overview

VE3 was commissioned by a major European Trade Commission to develop and implement a Case Management System (CMS) aimed at enhancing the efficiency of managing international trade cases. The CMS was designed to automate and streamline the process from case submission through to resolution, providing a comprehensive solution for the Trade Commission’s needs.

Challenges

Integration with Existing Software

One of the main challenges was integrating the new CMS with existing software tools while ensuring a smooth and seamless flow of data across platforms.

Security and Scalability

The system needed to incorporate robust security features to protect sensitive trade data and maintain scalability to handle increasing volumes of cases and users.

Complex User Roles and Permissions

Managing a range of user roles and permissions within the system was complex, requiring careful planning to ensure appropriate access levels and functionalities for different users.

Customization vs Deadlines

Balancing the need for customized features with tight project deadlines posed a challenge, as the system had to meet specific requirements without compromising the project timeline.

Key Deliverables

VE3 developed the CMS using Microsoft technologies, integrating it with existing tools such as MS Teams, SharePoint, PowerBI, and the Power Platform. This integration ensured that the CMS could leverage existing infrastructure and tools for enhanced functionality.

The system incorporated advanced user management features, supporting multiple roles such as admin users, caseworkers, public users, and representatives from various trade entities. This setup allowed for efficient management of different user needs and permissions.

A dynamic document management system was implemented, allowing users to submit, review, and publish documents related to their cases. This feature streamlined document handling and improved case management efficiency.

The CMS was designed with scalability in mind, able to accommodate growing case volumes and user numbers. Robust security measures, including two-factor authentication and secure storage databases, were incorporated to protect sensitive information.

Outcomes

The successful deployment of the CMS resulted in significant improvements in case management

Increased Efficiency:

The system managed thousands of trade cases efficiently, leading to a 45% increase in case processing efficiency.

Reduced Administrative Work:

The automation and streamlined processes reduced manual administrative tasks by 30%, allowing staff to focus on more strategic activities.

The Trade Commission reported that the new CMS not only met but exceeded their expectations, delivering a more efficient and secure system for managing international trade cases.

Summary

VE3’s development of the Case Management System for the European Trade Commission exemplifies their capability to deliver customized, integrated solutions that address complex challenges. By leveraging Microsoft technologies and focusing on security, scalability, and user management, VE3 provided a solution that significantly enhanced the efficiency and effectiveness of managing international trade cases.
